Set the client, period, and asset-event context before requesting source documents.

  • Improvement invoices when the firm specifically requests them.

3. Disposal and removal support

Use a separately named item for each sale, trade-in, scrap, or other removal event.

  • Bill of sale or sales invoice.
  • Deposit or payment support.
  • Trade-in documentation.
  • Scrap or recycling documentation when maintained.
  • Insurance or casualty documentation when applicable.
  • Client explanation when the asset was lost, abandoned, donated, or otherwise removed.
  • Internal approval only when maintained and requested.

4. Reupload and review context

Keep a replacement file tied to its original requested asset event.

  • The asset description or identifier is visible.
  • The transaction date and requested period are identifiable.
  • The file can be linked to the requested purchase or disposal event.
  • A reupload request says what source, date, description, or file issue needs correction.
  • Do not mark Uploaded as Received until staff review records a result.

Use this checklist when source support is missing

Use it for a defined asset event in a client period, rather than as an asset register or accounting calculation tool.

Request a vendor invoice, agreement, payment confirmation, loan or lease agreement, sale record, trade-in record, or other event support when the firm needs it for review.

Outside the request

The request does not decide capitalization, depreciation, placed-in-service date, useful life, gain or loss, or tax treatment.
